Privacy Policy
This page explains the information we use to fulfill orders, run account and optional referral features, and provide support.
What we collect
- Your name and email (for order confirmation and support).
- Your shipping address (to deliver the portrait).
- The photo you upload (to produce the portrait).
- Your payment details, entered on Stripe's servers, never stored on ours.
- Basic analytics, such as page views and device type, to help us improve the site.
How we use it
We use this information to fulfill your order, provide account access, send order and account updates, and help with support requests. If you participate in the referral program, we also use referral and purchase references to calculate credit, handle refunds and disputes, and review possible misuse.
Referral information
Following a referral link can associate a qualifying purchase with the participant who shared it. That participant can see a purchase reference, date, qualifying amount, currency and reward status. Their dashboard does not show your name, email, shipping address, payment details or private order receipt. Credit and referral transaction records are retained to maintain balances and resolve refunds, disputes and account corrections.
Promotional referral emails are optional. You can manage your preference in My rewards or use the unsubscribe link in a promotional email. Order and account service messages are handled separately. See the referral program terms.
Who we share with
We use a small number of trusted services to run the business. Each one sees only what it needs:
- Stripe: processes payments and supplies payment references used for refunds and fraud review.
- Clerk: provides account sign-in and email verification.
- Gelato: prints and ships your portrait. Receives your name, shipping address, and the finished image.
- Postmark: sends order, account and referral emails. Receives your email address and the information needed for the message.
- Cloudflare R2: stores your photo and finished portrait during production.
We never sell your data to anyone, ever.
Photo retention
Your uploaded photo is deleted from our systems within 30 days of shipping. We keep the finished portrait image longer so we can resend order confirmations and handle support requests.

Your rights
You can ask us to access, correct, or delete the personal information we hold about you. Email studio@ytheo.com from the address you used to place the order.
